LOCATION: San Francisco, CA (One Maritime Plaza, Suite 1600)
HOURS: 7:00am – 4:30 pm; flexibility required, hybrid in-office schedule
JOB FUNCTION
The investment assistant will join our San Francisco team, a small group of highly motivated and team- oriented professionals, to provide coverage for up to 4 investment professionals and perform office management duties. This position requires a candidate who is enthusiastic about and excels in a support role. This role reports into the Administrative Manager.
Responsibilities may include, but are not limited to:
Administrative Support:
· Manage calendars and coordinate meetings with public company representatives, research providers and other industry representatives.
· Serve as a gatekeeper for investment professionals; discern which information and callers get through; handle correspondence.
· Communicate with sell side brokers on corporate access offering, research, and models; assemble detailed research packets using internet and research outlets; extract brokerage and company generated reports.
· Assist with tracking meetings and projects in internal systems.
· Organize and schedule high volume of domestic and international travel arrangements, prepare related travel itineraries.
· Prepare expense reports; maintain strong understanding of T&E and compliance pre-approval policies.
· Assist with event planning and ad hoc projects as required.
· Provide back-up coverage for 1 Investment Assistant.
Office Management:
· Meet and greet guests, assist with on-site meeting logistics.
· Receive and distribute mail and parcel deliveries, prepare outgoing FedEx shipments.
· Help with lunch orders and guide lunch deliveries; provide communications to team members.
· Maintain general office, supplies and kitchen area; replenish stock as needed.
· Coordinate and liaise with building contractors to schedule office maintenance.
QUALIFICATION
The ideal candidate will have:
· An undergraduate degree with a record of academic success.
· Excellent organization and communication skills.
· Proficiency with Microsoft Office suite (Outlook, Excel, Word, and PowerPoint).
· Demonstrated customer service orientation.
· Support experience within a team environment.

· Experience within the Financial Industry a plus.
The base salary range for this position in San Francisco is $90,000 to $140,000. In addition to base salary, Viking employees may be eligible for other forms of compensation and benefits, such as a discretionary bonus, 100% coverage of medical and dental premiums, and paid lunches. Actual compensation for successful candidates will be individually determined based on multiple factors including, but not limited to, a candidate’s skill set, experience, education, and other qualifications.
