About the Role & Team
Capella Space is looking for an inventive and customer-centric Executive Assistant to join our team. You will directly support the CEO and CFO with their calendar management, international and domestic travel arrangements, and expense reporting. Success in this role is planning and orchestrating the work to ensure our senior executives’ priorities are met, company goals and objectives are accomplished, and operations run efficiently. This role will report into and work collaboratively with the Chief of Staff.
This position is based in our Louisville, CO office and will be an in-office role.
Role Responsibilities
- Manage executives’ calendars and schedule internal and external meetings across multiple groups and global time zones.
- Make domestic and international travel and accommodation arrangements for CEO and CFO.
- Manage coordination and prompt submission of high volume of expense reports, invoices, and purchase orders.
- Support logistics and work back schedules for items such leadership events and offsites, board meetings, and other company events.
- Organize and prioritize time-sensitive information to ensure action required is addressed and resolved.
- Screen all incoming phone calls, inquiries, and correspondence, and route accordingly.
- Maintain confidentiality of highly sensitive information.
- Manage complex office administrative work requiring the use of independent judgment and initiative.
Qualifications
- Bachelor's degree required or equivalent work experience.
- 7+ years’ experience supporting executive level leadership.
- Demonstrated ability to handle confidential information with discretion and can build trust through integrity.
- Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point) and other productivity tools. Aptitude to learn new software and systems as need arises.
- Strong interpersonal skills and ability to build relationships with key stakeholders.
- Proactive and able to work independently. Anticipating needs and taking initiative in a fast-paced environment. Problem solving mindset.
- Aerospace industry experience would be beneficial but not required.
Compensation
The annual salary range for this role as it is posted is $85,000 - $112,000. The final job level and annual salary will be determined based on the education, qualification, knowledge, skills, ability, and experience of the final candidate(s), specific office location and calibrated against relevant market data and internal team equity.
