Job Summary:
Lavu is seeking a highly organized and detail-oriented Business Operations Associate to support the CEO and contribute to the efficient functioning of our business operations. The ideal candidate will have strong analytical skills, excellent communication abilities, and a proactive approach to problem-solving. This role is critical in ensuring seamless operations, effective project management, and strategic support to the executive team. Key Responsibilities:
1. Administrative Support:
- Manage the CEO’s calendar, schedule meetings, and coordinate appointments.
- Prepare and organize meeting materials, agendas, and minutes.
- Handle internal and external communications on behalf of the CEO.
2. People Operations Support:
- Assist with administrative tasks related to hiring, including posting job openings, scheduling interviews, and conducting background checks.
- Coordinate the onboarding process for new hires, ensuring all necessary documentation and training materials are prepared.
- Manage offboarding procedures for departing employees, including exit interviews and return of company property.
- Maintain employee records and ensure compliance with HR policies and regulations.
- Support employee engagement initiatives and company culture programs.
- Be an ambassador of Lavu’s culture and values
3. Operational Efficiency:
- Identify and implement process improvements to enhance operational efficiency.
- Collaborate with cross-functional teams to streamline workflows and optimize business processes.
- Monitor and analyze key performance metrics to support data-driven decision-making.
4. Project Management:
- Lead and support various business projects from initiation to completion.
- Develop project plans, timelines, and budgets.
- Track project progress, identify potential risks, and ensure timely delivery of project milestones.
5. Data Analysis and Reporting:
- Conduct market research and competitive analysis to support strategic initiatives.
- Prepare regular reports and presentations for the executive team.
- Analyze operational data to identify trends, insights, and opportunities for improvement.
6. Stakeholder Coordination:
- Liaise with internal and external stakeholders to ensure effective communication and collaboration.
- Coordinate with vendors, partners, and clients as needed.
- Assist in the preparation of board meetings and other high-level events.
7. General Support:
- Provide administrative and operational support to the executive team as required.
- Assist with ad-hoc tasks and special projects to support business objectives.
- Maintain confidentiality and discretion in handling sensitive information.
Qualifications:
- Bachelor’s degree in Business Administration, Operations Management, Human Resources, or a related field.
- 2+ years of experience in business operations, project management, or a similar role.
- Strong organizational and multitasking skills with keen attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), GSuite and project management tools.
- Ability to work independently and collaboratively in a fast-paced environment.
- Analytical mindset with the ability to interpret data and generate actionable insights.
- Experience with calendaring and meeting support for senior executives is a plus.
- Familiarity with HR processes, including hiring, onboarding, and offboarding, is preferred.
