Responsibilities
- Manage executive calendars by prioritizing inquiries and requests for meetings, event participation, speaking engagements, and other commitments. Make recommendations to ensure the day-to-day schedule is running smoothly and efficiently.
- Work with the executives and other team members to create agendas and content for key meetings, while also developing critical action items and next steps.
- Discern the proper channels for addressing issues/concerns.
- Compose important correspondence and documents requiring a broad knowledge of department operations, policies, procedures, and regulations.
- Schedule meetings on behalf of executives, with internal stakeholders and external partners/clients.
- Arrange travel including flights, rental cars, hotels and car services.
Who You Are
- Bachelor’s degree.
- 7+ years of Executive Assistant experience in a fast-paced environment. Prior experience supporting multiple executives is highly preferred.
- Demonstrate superior communication, both written and verbal; comfortable interacting with staff at all levels and representing the ideas or position of the executives clearly and diplomatically, when needed.
- Ability to adjust focus between “big picture” strategic work and day- to-day “to dos” with ease.
- A resourceful and proactive individual, who has an entrepreneurial spirit and thrives in a startup environment.
- Able to work independently with little guidance - able to troubleshoot and ‘figure things out’ with a bias for action.
- Able to keep calm under pressure and be successful in an ambiguous environment.
- Strategic thinker and strong problem solver with sound judgment.
- Super organized, great at multitasking and balancing different priorities.
- Collaborative spirit and team player.
- Able to handle confidential information with a high level of professionalism and discretion.
- Proficient in Microsoft Office Suite (specifically PowerPoint and Excel), Google Office
