DUTIES AND RESPONSIBILITIES
- Type, transcribe and revise all communications, legal documents, charts and tables.
- Organize, prepare and maintain client and office files both in electronic and paper filing systems.
- Litigation experience including e-filing in both state and federal courts.
- Case file management (create, organize, track and maintain files; monitor calendars and meeting deadlines; document actions; input information into file database and case management software).
- Open and sort incoming communications via standard or electronic delivery and distribute appropriately.
- Process attorney weekly time summaries, expense reports, check requests and travel arrangements which include transportation, automobile rentals, and hotel reservations.
- Prepare and submit new client and/or new matter forms and sub-files.
- Coordinate, schedule and docket/calendar meetings, conference calls and client tasks.
- Proofread all work for both accurate content and context.
- Assignments may change from time-to-time and flexibility is essential. Legal Practice Assistants are expected to extend support and service not only to primary attorneys, but to any attorney within the Department and/or office.
QUALIFICATIONS AND REQUIREMENTS
- Must have at least 3 years legal experience. Preferred experience in litigation.
- Must possess strong organizational and communications skills, both verbal and written.
- Must be very detail-oriented and be able to multi-task.
- Strong document processing and project management skills.
- Must be able to think critically on projects and assist making executive decisions in order to finalize tasks.
- Must be cognizant of the privacy of clients and the security of their documents.
- Proficient in advanced levels of Microsoft Office 365, Outlook, Excel, iManage Work and Word and the use and application of Styles, Redlining (CompareDocs), Nuance, Docusign and PDF Docs4.
- Must be able to operate the Firm’s software applications on an advanced level within a reasonable period of time, and possess excellent reading comprehension and proofreading skills.
- Outstanding written and verbal communications and be able to professionally interact with clients, attorneys, and staff.
- Experience in working collaboratively and applying individual commitment to a group or team environment in the spirit of cooperation to successfully complete tasks efficiently and quickly.
- Experience with document management program – iManage DeskSite preferred
- Degree preferred but applicable work experience will be considered in lieu of a degree.
