Occupational Summary
This position will work closely under the direction of the Associate Vice President and Director of Leased Property and the duties and responsibilities will include marketing and administration of the Duke Real Estate portfolio. The candidate will join this fast-paced team focused on real estate support and strategy for corporate executives within Duke University and Duke University Health System. The position requires competencies and knowledge of organizational policies and practices while exercising discretion in handling confidential, sensitive and timely information. The current portfolio is 4+ million sf of office, clinic, lab, research and warehouse space represented in 200 leases.
The Program Coordinator will plan, coordinate and administer leasing activities within the Duke Real Estate office; develop, coordinate and report on leasing needs and strategies for internal clients.
Work Performed
- Plan, coordinate and administer activities of internal clients to include preparation of meeting agendas, memos, meetings, tours, internal and external correspondence including file management, organizing and distributing marketing materials
- Maintain relationships with other programs, offices and departments at Duke to coordinate real estate objectives; interface with external organizations as appropriate to ensure cooperative efforts are enhanced and available resources are utilized
- Provide lease administration and property management support along with marketing and research preparation for internal clients
- Monitor and evaluate portfolio effectiveness using qualitative and quantitative research techniques; investigate trends and recommend and implement modifications to improve program effectiveness
- Prepare budgets and resources to supplement and support internal clients and their needs related to space
- Management of purchase and sale process including preparation, control, and maintenance of legal documents (letters of intent, offers, proposals, commission agreements, listing agreements, amendments, waivers, extensions, and Multiple Listing Services agreements)
- Coordinate marketing needs to include conceptualizing and writing proposals, packages, presentations; Maintain Duke branding in marketing materials; Perform market research in partnership with external sources (real estate professionals, economic development, peer institutions, etc.)
- Perform other related duties incidental to the work described herein
- This role is suited for someone who is passionate about learning and working in real estate and whose preference is to have a successful real estate career in an administrative capacity. It is expected that this position will be performed in a professional hybrid office setting.

Required Qualifications at the Level
Education/Training:
Bachelor’s Degree; Relevant Real Estate Courses or Training
Experience:
Three years of experience in the real estate industry
Skills:
- Intermediate to Advanced skills with Microsoft Office Suite required (Word, Excel, Outlook, PowerPoint); Ability to learn and utilize various software programs
- Possess characteristic traits of independent thinking, self-starting initiative while working well in a team-oriented environment
- Interest in working in a small team environment with emphasis on contributing and building interpersonal relationships
- Project and data management skills; strong problem solving, organizational and communication skills
- Excellent proofreading and editing skills
- Ability to express ideas clearly in written and verbal communications, with the capability of creating complex financial and business-related documents
- Ability to multi-task, utilize effective time management skills, and recognize and respond to time sensitive issues while maintaining a keen eye for detail
- Positive attitude with willingness to adapt and assist where needed
Minimum Qualifications
Education
Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.
Experience
Work requires three years of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
