THE ROLE
Sotheby's is defining and building state-of-the-art systems to automate, optimize, and enhance our client journeys and seeks a world-class Product & Technology (P&T) Product Operations Analyst to help facilitate the effort.
As the Product Operations Analyst, you are primarily responsible for division wide invoice processing, procurement, and other team administration. This includes procuring all goods and services for Sotheby’s P&T Department worldwide in line with Company corporate governance policies. An unwavering attention to detail, rigor in execution, and a proven ability to manage various workstreams in an organized way are fundamental to the success of this role.
RESPONSIBILITIES
- Assist P&T departments in generating expense approvals, facilitating purchasing, managing licenses, managing inventory, assisting with vendor management, and navigating the procurement process.
- Maintain highly organized and orderly files/record keeping of all supporting documentation, including expense approvals, contracts, invoices, and archive documents in line with Sotheby’s data retention policies.
- Promptly submit purchase requests (PRs), validate proper approval flow and data accuracy, and transmit purchase orders (POs) within Concur.
- Process and review invoices in Concur to ensure alignment with internal policies and procedures, distribute costs between operating expenses and capital expenditure, and ensure payment timeliness.
- Work with Accounts Payable to establish new vendors and resolve payment issues.
- Meet with P&T budget holders monthly to review budgets and ensure parity with Concur and forecast expectations.
- Work with vendors to resolve any pending issues, involving internal management where appropriate.
- Prepare regular and ad hoc management reporting, as requested.
- Strive for efficiencies, improvements, and learnings that will help improve Sotheby’s ROI.
IDEAL EXPERIENCE & COMPETENCIES
- Bachelor’s Degree required, ideally in relevant area of study/interest.
- 2+ years experience in relevant work experience.
- Self-starter with unwavering attention to detail and willing to constantly strive for improvement.
- Excellent verbal, written communication, and presentation skills, as well as good interpersonal skills.
- Ability to prioritize in a complex, fast-paced environment, working on several different and varied projects simultaneously against tight deadlines.
- Highly motivated, proactive, enthusiastic, and resourceful.
- Ability to collaborate in a team environment as well as work independently.
- Proficient use of Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel) or Google Drive.
- Concur knowledge and experience are a plus.
- Interest in learning the basics of finance and accounting.
The proposed base salary for this position ranges from $55,000-$75,000. In addition to base salary successful candidates are eligible to receive a discretionary bonus, as well as a competitive benefits package. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, licensure or certifications obtained.
