THE ROLE:
The Registrar/Art Handler will be responsible for receiving/handling valuable property and maintaining accurate inventory records; record key attributes about property so that shipping quotes can be obtained from shipping vendors and provided to our clients. She/he will be expected to undertake consistent learning in order to improve their capability and efficiency in recording key attributes pertaining to property for obtaining shipping quotes.
RESPONSBILITIES
- Ensure all policies regarding the security, handling, movement and storage of property are adhered to at all times
- Examine property either offsite or receipt to record or verify logistics attributes, including piece count, weight, dimensions, of each item that arrives etc.
- Accurately record the condition of property received, generate reports of condition and flag the undisclosed damage immediately to all relevant parties
- Accurate safe labelling and locating of property
- Take accurate, clear and relevant photos of each item which can be used a cross reference to the condition report provided
- Distribute arriving property to appropriate departments or storage locations and recording the movement(s); and assist with releasing property to clients, shippers and 3rd parties at Property Collections
- Assist with the hanging/installation/set up of exhibitions and private views as and when required
- Maintain all property information in SAP and all associated log books as required, including all movement(s) between locations
- Participate in ad-hoc duties as requested, not limited to additional main and mid-season auction-based duties which may include, but are not limited to, telephone bidding for multiple departments
- Operate at all times in line with corporate governance and compliance policies, practices and procedures
IDEAL EXPERIENCE & COMPETENCIES
- Degree level or equivalent
- Fluent in English, Cantonese and Mandarin are essential. Ability to read and write Chinese desirable
- Previous Registrar experience working with fine art paintings and decorative objects in an auction house, museum, gallery, art shipper / logistics company, or similar art environment
- Experience working with both traditional Asian art as well as Western art-forms, modern and traditional
- Experience working with Jewellery and Watches
- A strong working knowledge of property, systems and logistics
- Ability to handle property in a skilful and careful way with a good working knowledge of operating procedures
- Excellent interpersonal skills. Able to work well within a team and a proven ability to communicate well with clients and staff from other departments
- A team player with ‘can do attitude’ and flexible approach who works closely with colleagues to complete tasks and activities
- Previous manual handling skills required, with experience in using power tools
- Strong organisational and problem-solving skills with the ability to forward plan
- Security conscious with strong attention to detail
- Good time management skills
- Excellent computer skills
- Excellent client service skills
- Safety first attitude and exceptional care in handling and security of client’s property
- Flexible approach to work. Able to work evenings, weekends, and offsite when required
- Very high level of attention to detail and organisational skills
- Previous experience working at art fairs/galleries or similar highly desirable
- Candidate with less experience will be considered as Assistant Registrar/Art Handler
