Key Responsibilities:
Payroll Authority:
- Enter pay detail and reimbursements in to Ultimate system.
- Enter rate increases once specified approvals have been obtained.
- Authority to resolve payroll issues within established guidelines.
- Enter enrollments for benefit and deferred compensation plans in accordance with Company policy and Plan requirements
- Manage and coordinate invoices for Plan payments
- Work closely with Accounting to resolve benefit plan invoice discrepancies
Ultimate Payroll and PC Payroll Skills:
- Input personnel changes into the system.
- Input rate changes after confirming proper authorization from field management.
- Process terminations in system
- Process wage garnishments and withholding orders
- Auditing payroll reports prior to transmission of information.
- Enter enrollment for benefits and deferred compensation plans in accordance with Company policy and Plan requirements
- Audit Benefit deductions with Benefit Plan census files for billing accuracy
Maintain Personnel and System Records:
- Keep employee records and computer records updated with current employee information, i.e. rates, W4 status, benefit status, address or telephone numbers, etc.
- Up-keep of I-9 documentation in files
- Perform manual update of vacation accruals for those employees working in more than one department during a pay cycle.
- Complete employment verification and return to specific agencies.
- Monitor and respond to Employee inquires in a timely manner
Multi State Reporting:
- Complete all multi work site reports for assigned geographical region.
- Responding to outside inquiries from state agencies requiring payroll information.
- Communicating to our outside agencies related to unemployment department and department of revenue inquiries relative to employee withholding
Qualifications:
- Minimum 2 years relevant Payroll and/or Benefits experience with a mid to large sized company (500+ employees)
- Knowledge of multi-state payroll (including CA) and experience applying unique tax rates
- Knowledge of wage withholding orders and garnishments.
- Advanced knowledge of Microsoft Excel
- Excellent employee service and written/verbal communication skills
- Desire and ability to work in a team-oriented environment
- Ability to work independently in a time sensitive environment
- Possess sound decision-making skills, critical thinking, and multi-task while working in a fast-paced environment with specific deadlines
- Basic knowledge of Benefits Plans Administration activities.
