Are you a Training and Events Assistant looking for the opportunity to join a company with a more exciting story, products and co-workers? Or are you an administrative assistant who plans a lot of events and is looking to join a more dynamic company where your event planning skills will be appreciated? If you are either (or both) then look no further, you've found your next opportunity. Our small but mighty Training & Education team is growing, and we need an amazing Training & Events Assistant to join the team!
HERE’S WHAT YOU’LL LOVE ABOUT THE ROLE:
You'll be working with some of the smartest, nicest and funnest (okay, we know that is not a word, but you get it) co-workers you've ever met
You thrive when things are moving fast even if it is sometimes hectic, and you like working with other people who get stuff done
You enjoy putting the extra touches on things, delivering the unexpected and creating delight for participants
Solving problems is what you are known to do, and you like having the autonomy to fix things
You want to be part of a team that is rocking and getting a lot kudos for great work and results
HERE’S WHAT YOU'LL BE DOING:
Assisting the Training & Education Manager with events planning - catering, logistics, communications, etc.
Pretty much everything that you think about when it comes to planning an event! And since we are doing it without a professional coordinator today, you'll be able to build out this function the way you know it should be run!
Invites, confirmations, communication that ensures everyone knows what is happening and where to be, event set up and clean up, and all those things that create a great experience for the participants.
Tallying, tracking and reporting on event results, both participant feedback and sales following the event.
Ensuring presenters and their presentations are ready to go on as as planned.
Developing and updating checklists and timelines that ensure every event goes off without a snag.
HERE’S WHAT YOU’LL BRING TO THE ROLE:
2+ years of full-time experience as an events or training assistant where you were responsible for managing several events at one time.
Experience negotiating with hotels and other venues for meeting space
Experience coordinating vendors and being accountable for meeting timelines and other deadlines
Skilled in using Microsoft Office Suite, must be able to create spreadsheets with basic formulas and create slides in PowerPoint
An ability to create robust and detailed communications so that no one gets lost or misunderstands logistics
Ability to travel 20% of the time both by car and plane
Certified Meeting Planner (CMP) Certification would be a plus, but not necessary
